What we collect, and what we do with it.

The short version

• We collect what you type into our contact form, and general information about how the site is used.
• We use it to reply to you and to understand which parts of the site are useful.
• We don't sell it, and getting in touch doesn't put you on a mailing list.
• Some of it is stored by our service providers in the United States.
• You can ask to see, correct or delete what we hold about you at any time.

What we collect

What you give us

• Contact form: your name, company, email address, phone number if you choose to add it, and your message.
• Email: anything you include when you write to us.

Please don't send sensitive information, such as health details, through our form. We don't need it.

What is collected when you use the site

• Analytics. We use Google Analytics to see which pages are visited, how people arrive (for example from a search engine, LinkedIn or a campaign link), what kind of device and browser they use, and roughly where they are, to the level of a city. When the contact form is sent, it records that it was sent, but nothing you typed into it. Google Analytics does not store IP addresses. We use it to see patterns across all visitors, not to identify anyone.
• How you found us. When you send the form, we also receive the page you sent it from, the first page you opened on this visit, the website that linked you to us if there was one, and any campaign tags on the link you followed. Your browser holds this in session storage until you close the tab, and it only reaches us with the form.
• Fonts. Our pages load their typefaces from Google Fonts. Your browser requests them from Google directly, so Google receives your IP address and browser details. We don't receive that information.
• Hosting. The site is delivered by Amazon Web Services, which uses your IP address to send you the pages and to protect the site from abuse. We don't keep logs of visits.
• Spam protection. Our form includes a hidden field that people never see. If it is filled in, we treat the submission as spam and discard it.

How we use it

• To reply to your enquiry.
• To send you an automatic email confirming that your message reached us. It repeats nothing you typed into the form.
• To keep a record of our conversations with you in our customer relationship management (CRM) system, so whoever replies knows the history.
• To pass your enquiry to Peregrine GeoServices, our operating company, if it turns out to be work for them. We tell you when we do.
• To understand which parts of the site are useful and how people find us.
• To keep the site and its form secure.

Marketing emails

Getting in touch does not put you on a mailing list. If we ever offer a newsletter, you will be asked to join it separately. Every marketing email we send will say who it is from and include a working unsubscribe link, as the Spam Act 2003 requires.

Cookies

Google Analytics sets two cookies, _ga and one beginning _ga_. They remember that your browser has visited before, and they last up to two years. We don't use advertising cookies, and Google's advertising features are switched off for our analytics. Our own pages set no cookies; the note of how you found us is kept in session storage, which your browser clears when you close the tab.

To opt out of analytics, block cookies in your browser settings, or install Google's opt-out add-on from tools.google.com/dlpage/gaoptout. The site works the same either way.

Who we share it with

We don't sell or rent personal information. We share it only with the organisations below, and only what they need.

• Amazon Web Services hosts the website, processes form submissions and runs our email. Data is held in the United States.
• HighLevel, provided through our marketing agency Lean Marketing, is our CRM, where enquiries are kept. Lean Marketing may access these records to help run our marketing. Data is held in the United States.
• Google provides our website analytics and web fonts. Data is held in the United States and other countries.
• Peregrine GeoServices Pty Ltd, our operating company in Australia, shares our CRM, so its team can see enquiries made here. If an enquiry is work for them, they take it on and we tell you.

We may also share information with professional advisers, such as our accountant or lawyer, or where the law requires it.

Information held overseas

Because Amazon Web Services, HighLevel and Google store data in the United States, your information is likely to be held there. We use providers with strong security practices, but the privacy laws there may not protect you in the same way Australian law does.

How we protect it, and how long we keep it

• Everything you send through the site travels over an encrypted connection.
• Only people who need your information to do their work can see it.
• Enquiries that don't lead to work are deleted after three years. Records about clients are kept for seven years after the work ends, to meet tax and legal obligations.
• Analytics data is deleted automatically after 14 months.
• Technical logs from our form are deleted after 90 days.

Seeing, correcting or deleting your information

Email info@geosynergy.com.au to ask what we hold about you, to correct it, or to have it deleted. There is no charge. We may need to confirm who you are first, and we will respond within 30 days. If we can't do what you ask, for example because the law requires us to keep a record, we will tell you why.

Complaints

If you think we have mishandled your information, email info@geosynergy.com.au with the details and we will reply within 30 days. If you are not satisfied with our response, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.

Changes to this policy

If we change how we handle personal information, we will update this page and the date at the top.
